How We Transport Balloon Arches and Décor As A Professional Balloon Company

Ever wonder how a large balloon arch gets inflated and moved from our studio to your event without arriving squished, tangled, or popped?

The transportation and delivery logistics of balloon décor is a significant part of what we do as a professional balloon company. And one of the reasons we're trusted by clients, venues and planners. We're so good at logistics that most of what we deliver and reassemble feels like second nature to us. By the time an installation arrives at your event, we've already planned how it will be built, how much space it will take up, which vehicle it needs, whether it should travel fully assembled or in sections, and how we'll get it safely into the venue. After more than a decade of delivering balloons around the Chicago and North Shore, most of our items have standard re-assembly guidelines, but if you need a 15 foot folding Eiffel Tower Sculpture, we can do that, too! 

Here's how we do it.

We Plan the Delivery Before We Build the Décor

Transportation and logistics start before we inflate the first balloon.

When we're planning an installation, we're already thinking about how we're going to move it.

A smaller balloon garland can travel completely assembled. A large organic arch might need to be divided into 3 to 4 sections. A custom installation may require us to build certain components in our studio and finish the rest at the venue.

We consider the size and shape of the décor, the vehicle we'll use, the distance to the event, weather conditions, venue access, installation time, and even the size of the doors and elevators we'll encounter once we arrive.

The goal is to arrive prepared—and to have enough experience to minimize and account for unknown variables that may arise onsite. And we bring extras. Extra balloons, extra helium,and extra tools. 

We Transport Our Décor in Delivery Vehicles

We've got the trucks, three of them to to be exact, plus the option to rent larger vehicles when needed. Because our installs are often sizable and mostly air,  our balloon décor travels in large vans or box trucks to your location. 

We bag items in shop so they're protected during transport from rain, humidity, and dirt. For sensitive items, like logo printed balloons we double bag them to give an extra layer of security as we move them from loading dock to service elevator, or as we bring them through large heavy country club doors. 

We also keep the cargo areas clear of anything that could damage the balloons. And we tape over sharp objects like cut ends of framing poles.  We load heavier items with framing on the bottom or towards the back of the truck and layer helium items or custom detail items on top. We load custom backdrops to the side, usually protected by another backdrop of the same size, and in a protective cover. 

We Often Build Large Installations in Sections

Especially when doing a free style installation, we inflate garlands and style and shape them onsite. We bring bags full of 15 to 20 feet at a time, in multiples and we can connect or frame them at the venue. We get compliments on our load in, setup, and install speed. 

For a guest walking into the finished event, they would never know the balloons came in separate pieces, and they can't believe it was all transported!

Sometimes We Finish the Installation On-Site

Not everything should arrive fully assembled. We save space by blowing up large balloons onsite when needed, for example. Sometimes our team plans to have an assistant inflate foils onsite to reduce idle time while a lead designer works on creating a visual flow for a larger item. 

In those situations, we do as much preparation as possible in our studio and complete the final assembly at the event.

That might mean connecting sections of a garland, attaching balloon décor to a structure, building out an arch, or installing balloons onto one of our event rentals.

The decision is based on what will produce the best finished result—not simply what is easiest to transport.

Chicago Weather Changes How We Transport and Install Balloons

We're Chicago weather experts. And the hot hot days, wind and snow are something we know how to plan around. 

Foil balloons react to changes in temperature because the air inside them expands and contracts. We account for that. We suggest the best colors and use the best brands for outdoor. We recommend shaded areas, tents, or indoor backup options when needed. 

We Plan Around the Venue, Too

Getting the balloons safely across Chicago is only part of the job.

We still have to get them from our vehicle to their final location.

Depending on the venue, that can mean navigating:

• Loading docks

• Freight elevators

• Parking garages

• Security desks

• Long hallways

• Stairs

• Narrow doorways

• Busy event spaces

• Limited setup windows

Some Chicago venues also have specific loading procedures, insurance requirements, or labor rules that need to be addressed before installation day.

We account for those logistics when planning the delivery.

We Bring Extras

Even when everything is planned correctly, balloons are still balloons.

Occasionally one pops.

That's why our team doesn't arrive at an installation with only the exact balloons you see in the finished design.

We bring additional balloons and the tools and supplies necessary to make adjustments and touch-ups at the venue.

If something shifts during transportation or a balloon is damaged while we're carrying an installation through a doorway, we can address it before we leave.

Our goal is for the décor to look right when your guests see it—not simply to look right when it leaves our studio.

We Inspect the Installation Before We're Finished

Once the décor is in place, we step back and inspect the finished installation.

We check the overall shape, balloon placement, pattern, positioning, and attachment points and make any necessary adjustments.

That's an important distinction between transporting balloon décor and professionally delivering and installing it.

The job isn't finished when the balloons arrive.

It's finished when the installation is complete.

There's no single method because every installation is different.

At North Shore Balloon Decor, we may transport a smaller installation largely assembled, divide a large balloon arch into sections, prepare components in our studio and assemble them at the venue, or build portions of an installation completely on-site.

The transportation plan is part of the design process.

After hundreds of deliveries and installations, we've learned that successful balloon décor isn't just about knowing how to make something beautiful.

It's also about knowing how to get it there.
